Technical offer or technical proposal is a document which you offer your product or service to your customer or client. Technical offers are prepared and submitted in below situations:
- Answer to request for proposal (before or along with request for quotation)
- Participate in the tender (bid)
- Voluntary submission (advertising, etc.)
Note1: Before preparing any offer, make sure that you understand the technical request of the customer correctly or that at least the ambiguities and contradictions are not so much that you waste your time to submit the offer!
Technical offers must have below specifications:
- Explain that how the offer can cover the requirement (according to request of customer/client).
- Express technical deviations.
- Provide alternative solutions to eliminate deviations (if possible)
- Optional offers beside the main offer (In a way that does not confuse the customer/client)
- Concise and without complexity as much as possible.
- You can add diagrams, data sheets, graphics and illustrations (images, videos), product samples and so on to answer technical ambiguities or attract more customer attention.
- Introducing previous portfolios, customer satisfaction documents, etc. can help to gain the trust of new customers and gives you a credibility.
- Prepare a template for various requests, but you must edit and prepare each offer exactly according to the customer's request like a specific offer for a special customer!
Note2: Advantage of using the template for offers:
- Saving time and energy
- Not forgetting the key issues
- Reducing the possibility of mistakes
Note3: Make sure that your customer or client receives your offer!
Please note that this document will be a base of engineering documents for any potential project!
